Whole-House Water Filter Maintenance: What to Replace and When

By Clearhouse Updated 10 min read
Illustration of whole-house filter cartridges, tank media, softener salt and UV parts prepared for routine maintenance

A whole-house water system does not have one replacement date. Cartridges are replaced most often, tank media lasts years, softener salt is replenished as it is used, and a UV lamp is replaced every year even if it still glows. For the current Clearhouse Crystal Quest systems, use the matching model manual as the final schedule and move service earlier if flow, test results or feed-water conditions show the system is working harder than expected.

What gets replaced—and when?

Think in four separate maintenance clocks. The calendar below uses the current Crystal Quest whole-house and UV manuals supplied for the models in the Clearhouse catalog. Your water quality, water use and exact configuration can shorten an interval.

Check monthly

Softener salt

Look at the brine tank, check for a salt bridge and refill before the salt gets too low. Salt is a consumable; the brine tank is not a filter cartridge.

12–18 months

Pre/post cartridges

Replace sooner if water flow drops noticeably. The current whole-house manual gives 12–18 months for the included cartridges.

Every year

UV lamp

Replace after one year of continuous use. Clean the quartz sleeve as needed and replace its O-rings annually.

Multi-year

Tank media

Rebed the tank when its treatment performance is spent. This is a different job from changing a cartridge and depends on tank size and water conditions.

Part Routine action Planning interval What tells you to act sooner?
Sediment and carbon cartridges Replace the cartridge; inspect and lubricate the housing O-ring with food-grade silicone grease 12–18 months in the current whole-house manual Noticeably reduced flow; dirt loading; a return of the taste or odor the cartridge was selected to address
SMART tank media Backwash as programmed; eventually remove and replace the media inside the reusable tank Manufacturer planning ranges: 5–7 years for a 1.5 ft³ bed and 7–10 years for a 2.0 ft³ bed Before/after water testing shows reduced treatment; the original issue returns after cartridge and control checks
Softener salt Replenish sodium chloride or potassium chloride; do not pack the tank full Inspect at least monthly; refill based on actual use Salt approaches roughly one-quarter to one-third of its starting level, or a salt bridge forms
Softener brine tank Drain, empty, wash, rinse and refill Once a year in the current whole-house manual Sludge, caking, unusual salt use or poor regeneration
Softener resin Have the resin bed evaluated and rebedded when capacity is spent Manufacturer planning range: about 10–15 years with proper care Hardness rises after normal regeneration, after salt level and settings have been checked
12 GPM UV lamp (CQE-UV-00104) Replace with the matching lamp Annually; the listed effective life is approximately 9,000 hours Lamp alarm or failure requires immediate attention
UV quartz sleeve and O-rings Clean the sleeve; replace damaged or permanently clouded sleeves; replace O-rings Inspect/clean periodically; replace O-rings annually Mineral film, sediment, iron or manganese deposits on the sleeve

Intervals are drawn from the current Crystal Quest Whole House Installation and Operation Guide, UV Disinfection System Guide, and manufacturer maintenance guidance. The matching manual controls if your model differs.

Maintenance plan for current Clearhouse systems

Match the plan to the equipment on your order, not to a generic “whole-house filter” schedule. Current Clearhouse packages combine different serviceable parts.

Current Clearhouse equipment Parts to plan for Manual-based plan
Stainless Steel Whole Home Filter Sediment cartridge, carbon cartridge, SMART media bed, control valve and O-rings Change cartridges at 12–18 months or sooner for reduced flow. Keep the programmed backwash operating. Plan a multi-year media evaluation based on the 1.5 or 2.0 ft³ tank and verified treatment performance.
Stainless Steel Whole Home Filter + Softener All filter items above, plus salt, brine tank and softener resin Check salt monthly, keep the brine tank about three-quarters full without packing it, and clean the brine tank yearly. Test hardness if scale or spotting returns before assuming the resin must be replaced.
Stainless Steel Whole Home Softener Pre/post cartridges where included, salt, brine tank, resin and control valve Follow the same monthly salt and annual brine-tank checks. Confirm the valve time and regeneration settings after a power outage or a material change in household use or source-water hardness.
12 GPM UV Water Treatment Add-On UV lamp CQE-UV-03104, quartz sleeve and O-rings Replace the lamp every year, clean the sleeve periodically and replace O-rings annually. Keep the lamp on continuously during normal service.

Cartridges and tank media are different jobs

A cartridge is the frequent replacement. Tank media is the long-life treatment bed. On the current SMART configuration, water first passes through a sediment cartridge, then the tank media, then a carbon cartridge. The whole-house manual says to replace a cartridge when flow is noticeably reduced and/or between 12 and 18 months.

A media change—also called rebedding—opens the tank and replaces the material around the riser tube. The tank and control head can be reused if they remain serviceable. Crystal Quest’s current maintenance guide gives planning ranges of 5–7 years for a 1.5 ft³ main media bed and 7–10 years for a 2.0 ft³ bed. Those ranges are not a promise: higher contaminant loading, larger water use and poor backwashing can shorten service life.

Use a before/after water test to evaluate treatment that cannot be judged by taste or smell. If flow drops, start with the simpler checks: confirm the bypass is in service, replace a loaded cartridge and verify that the control valve is backwashing as programmed.

What maintenance does a water softener need?

A salt-based softener consumes salt during regeneration; it does not use salt as a replaceable filter. The current whole-house manual says to inspect the salt level at least monthly, check more often after a new installation until usage is predictable, and fill the tank about three-quarters full without packing it.

Look for a hardened salt bridge that leaves an empty space below the crust. The manual also calls for draining, emptying and cleaning the brine tank with soap and water once a year. If hardness returns, check salt, bridging, valve power, time and regeneration settings before deciding the resin is spent.

The manufacturer’s current maintenance guidance treats roughly 10–15 years as a planning range for resin replacement. Actual life depends on chlorine exposure, iron fouling, regeneration settings and maintenance. A water-hardness test after regeneration is more useful than replacing resin by calendar alone.

What gets replaced in a UV system?

Replace the UV lamp every year even when it still produces visible light. For the Clearhouse 12 GPM add-on, the matching Crystal Quest manual identifies model CQE-UV-00104, a listed lamp life of about 9,000 hours and annual lamp replacement. It also says the lamp should stay on continuously during normal operation because repeated switching shortens lamp life.

The stainless chamber is not an annual replacement. The quartz sleeve inside it must remain clean enough for UV light to pass through. The manual calls for periodic sleeve cleaning when hardness minerals, iron, manganese or sediment create deposits, and recommends replacing the sleeve O-rings annually. Disconnect power before any UV service and follow the manual’s shutdown, handling and restart sequence.

For a private well, UV does not replace source-water testing or the pretreatment needed to keep turbidity, hardness, iron and manganese within the equipment’s stated feed-water conditions. Start with the well-water testing checklist if the source or current results are uncertain.

When should a licensed plumber service the system?

Call your plumber when you see a leak, cannot safely isolate and depressurize the equipment, need a tank rebedded, need control-valve work, or still have low flow after a fresh cartridge and a verified backwash. Also call before changing valve programming when the source water, household demand or equipment layout has changed.

For cartridge or UV work, the manuals include procedures, but local plumbing and electrical rules still apply. Review the Clearhouse installation process and keep the exact manufacturer manual with the system.

Frequently asked questions

Do whole-house filters need to be replaced?

Some parts do. Cartridges, tank media and UV lamps are consumable. The tank, housings and control head are generally serviced and reused while they remain in good condition.

Can I wait until water pressure drops to change a cartridge?

Reduced flow is one replacement signal, but it should not be your only plan. Follow the calendar range in the matching manual and move the change earlier when loading or water use demands it.

Does backwashing replace the need to change media?

No. Backwashing loosens and cleans the bed and carries trapped material to the drain. It does not restore media indefinitely. Treatment performance and the manufacturer’s planning range determine when rebedding is due.

Can one annual service cover everything?

An annual plumber visit can be useful, but softener salt still needs monthly attention and some cartridges may load early. UV lamps are annual; tank media normally runs on a multi-year cycle.
